POLICIES
These are the policies every parent/guardian and camper agreed to in the application. These are listed as a reminder and a courtesy only.
CANCELLATION POLICY
We realize that situations may arise that change your plans. If a cancellation is made prior to June 1st, your payment will be refunded if we are able to fill the camper spot with another camper from the waiting list. No refunds will be processed after June 1st.
Please contact camp staff via email or text/call (605) 610-8775 as soon as possible if your child will not be attending camp, so that we can allow a camper from the waiting list to attend.
Unfortunately, in past years, we have had campers that are registered but do not arrive for camp, and did not cancel in advance. In these instances, another camper was not able to be added. Due to this, if a camper does not arrive for camp as scheduled, Camp Gilbert reserves the right to decline that camper’s future application to attend Camp Gilbert.

MEDICAL CONDUCT AGREEMENT
To ensure camper safety, all insulin, medications, food and treatments will be given only as directed by the Camp Gilbert staff. Campers found to be self-administering insulin, medications, food, and treatments may be sent home.

- I will only take insulin, medications, food and/or treatments as directed by the Camp Gilbert staff. This includes only giving a bolus with an insulin pump when directed by staff.
- If I take insulin, medications, food or treatments without Camp Gilbert staff direction/approval I will meet with the Camp Gilbert Directors and may be sent home.
BEHAVIOR CONDUCT AGREEMENT
A camper who displays negative behavior can affect other campers. Campers who are disrespectful, disruptive, unruly, display inappropriate behavior, or emotionally, verbally, or physically threaten others will meet with the camp directors to evaluate their behaviors. If the behavior(s) continue after meeting with the camp directors, the parents will be notified about the inappropriate behavior(s), and the camper may be sent home. It will be the parent's responsibility to arrange transportation for their child if they indeed need to be sent home.

- I agree to have fun at camp. In order to have fun at camp, I will respect the other campers, Camp Gilbert Staff, NeSoDak staff and camp facilities. I will follow the camp rules.
- I agree to obey all rules and regulations of Camp Gilbert. I also agree to obey the instruction of camp counselors, physicians, nurses, and adult volunteers pertaining to the camp activities, medical needs or practices and all related matters. I will inform the appropriate camp personnel of any matter or activity which I believe to be harmful or which creates the risk of accident or injury to myself or any other participant at camp.
- I will be responsible for my own words and actions.
- If I display disrespectful, disruptive, or unruly behaviors or if I emotionally, verbally or physically threaten others I will meet with the Camp Gilbert Directors and may be sent home.
- I understand that cell phones are not allowed at any point during the week of Camp Gilbert. It is NeSoDak and Camp Gilbert policy that campers must turn in cell phones at the start of the week. If I do not follow these policies I will meet with the Camp Gilbert Directors and may be sent home.
- If I am sent home, I understand my parents will be responsible for picking me up or arranging transportation home.
CONTINUOUS GLUCOSE SENSOR POLICY
The medical staff of Camp Gilbert appreciates the utility and the usefulness of continuous glucose sensors and realizes that some campers utilize sensors to control their diabetes while at home. The medical staff allows the use of continuous glucose sensors while at camp. Trend graphs from glucose sensors will be considered but blood glucose meter checks may be required before treatment decisions are made. The provider who is providing care for the camper at the time will decide whether a blood glucose check is needed.
If a continuous glucose sensor is used by a camper during the week of camp, the camper will be responsible for:
If you do not feel your child will be able to complete these tasks independently, it is recommended that your child’s sensor remain at home during camp.
If a continuous glucose sensor is used by a camper during the week of camp, the camper will be responsible for:
- All calibrations of the device. These will have to be done at the appropriate time by the camper.
- Sensor changes. For the experienced campers, changing sensors is the responsibility of the camper using the device. For less experienced campers and for campers new to diabetes, the camper can receive assistance in changing the sensor at the time of pump set changes.
- Supplies. The supplies will need to be brought to camp by the camper. Camp Gilbert will not be responsible for sensors, transmitters, chargers, or tape.
- Campers who use sensors will need to be utilizing a receiver other than a cell phone in order to use their CGM at Camp Gilbert. Cell phones are not allowed at Camp Gilbert; this is a NeSoDak and Camp Gilbert Policy. Camp Gilbert will try to provide receivers for campers who do not have a receiver other than their cell phone.
If you do not feel your child will be able to complete these tasks independently, it is recommended that your child’s sensor remain at home during camp.
INSURANCE POLICY
NeSoDak’s insurance policy assumes that the camper’s insurance will be the primary coverage. If we must take someone to the doctor for treatment, the clinic will first file a claim with the camper’s insurer. If you have concerns about insurance at camp, contact NeSoDak at (605) 947-4440.
CELL PHONE POLICY
Cell phones should be sent home with parents at check-in. If you prefer, the Camp Gilbert staff can store these and return to the camper at check out. This is a NeSoDak and Camp Gilbert policy. Campers caught with a cell phone during the week of camp are considered as breaching their behavior conduct agreement and could be sent home.
PERSONAL PROPERTY POLICY
Your child’s personal property is not covered by camp insurance and any claims for loss, theft, etc. will need to be submitted to your personal homeowners/renters insurance company.
PARENT/GUARDIAN CONSENT STATEMENTS
I give my consent for adjusting insulin dose, performing blood tests, or any medical care deemed necessary by trained camp staff.
I also consent photography and videography of my camper for educational, promotional, and development purposes without compensation.
I will not hold Camp Gilbert Inc. liable, or any individual associated with camp, for accidental injury or illness resulting from this camper's attendance and activities at camp.
I give my consent that my middle school or high school camper (if applicable) may leave NeSoDak in order to participate in supervised camp field trips or community service projects.
I also consent photography and videography of my camper for educational, promotional, and development purposes without compensation.

ZERO TOLERANCE: TOBACCO/DRUG POLICY
TOBACCO/NICOTINE FREE SITE
Camp Gilbert recognizes and is dedicated to providing a healthy, comfortable, and safe environment for campers and volunteers. In accordance with this responsibility, it is the intent of the Camp Gilbert Board to establish a tobacco/nicotine-free environment that demonstrates a commitment to helping campers and volunteers resist tobacco/nicotine use and that emphasizes the importance of adult role modeling.
The use, possession, sale, or promotion of tobacco, nicotine, or vapor product, whether synthetic or natural, on site is prohibited. Camp Director and Medical Director will treat all forms of nicotine containing products or nicotine delivery devices, which may or may not include actual tobacco as a violation of this policy. This policy shall be always in effect on site and shall apply to all campers, volunteers, and visitors.
For the purposes of this policy:
1. “Tobacco” means any substance or item, in any form, containing tobacco/nicotine.
2. “Promotion” means the use or display of tobacco-related clothing, bags, lighters, or
other material that is designed to encourage the acceptance or use of tobacco.
Campers and/or volunteers found in violation of this policy will be subject to appropriate consequences, which may involve a range of enforcement options including disciplinary action according to the Behavior Conduct Agreement and/or being sent home from Camp Gilbert. Visitors in violation of this policy will result in appropriate sanctions as determined and imposed by the Camp Gilbert Director and Medical Director, which may include direction to leave the property.
ALCOHOL AND OTHER DRUG USE
A volunteer, camper or visitor shall not possess, use, distribute, transfer, conceal, sell, attempt to sell, deliver, nor be under the influence of alcohol, illegal drugs or other drugs, whether synthetic or natural. Volunteers and campers shall not engage in alcohol and/or other drug use/abuse, nor possess paraphernalia specific to the use of alcohol and/or other drugs. Volunteers and campers shall not engage in the use of alcohol and/or other drugs.
Camper(s) and volunteer(s) found in violation of this policy will be subject to confiscation and appropriate consequences, which may involve a range of enforcement options including disciplinary action according to the Behavior Conduct Agreement and/or notifying Law Enforcement and being sent home from Camp Gilbert.
